Staff Transport Costs

Monthly Staff Transport Cost Guide UAE: Rates, Shifts and Quotes

Our monthly staff transport cost guide for the UAE starts with published planning ranges of AED 6,800–9,200 for a 7–15 seat van/MPV and AED 10,000–13,500 for an 18–34 seat minibus; larger staff buses require a project quote. Your final monthly rate depends on the employee count, pickup route, working days, shifts, daily operating hours, kilometres, driver and fuel arrangement, permits and other agreed costs. Use the tables below to estimate your budget, compare like-for-like contracts and request a route-based quote.

Our examples help you compare recurring workplace transport on the same route and duty. We confirm the final total only after reviewing your actual operation.

The UAE range is a starting point for budget discussions. It does not promise identical prices in Dubai, Abu Dhabi, Sharjah, Ajman, Ras Al Khaimah, Fujairah or Umm Al Quwain. Longer inter-emirate routes, multiple shifts, hard-to-access sites or extra duty can change the contract. For 35–50+ seat coaches and 60–84 seat workforce buses, we show no made-up monthly rate: send us the work pattern for a separate project quotation.

What does one monthly staff transport contract actually buy?

A monthly contract usually books a dedicated vehicle and its agreed schedule for your company—not one seat on a shared public route. You might need one morning pickup and one evening return, or several shift-change trips. We confirm the exact working days, pickup order, destination, wait time, driver arrangement, fuel and total distance in writing before quoting.

02 / WHAT MAKES THE MONTHLY BILL CHANGE

Key Factors That Change Your Staff Bus Monthly Cost

Your staff count tells us the vehicle category. The route and duty tell us what it will cost to operate every month.

Passenger count and licensed seating

Tell us the maximum number of people boarding on the busiest shift, not only the average attendance. A van may be practical for 12 people, while 25 or 30 staff usually need a minibus with enough actual passenger seats. If the roster is 34, check the particular vehicle’s approved layout rather than assuming all 18–34 seat buses have 34 available passenger seats.

Working days, daily duty and number of trips

Six-day staff service, seven-day operation and a full 24-hour shift rotation use very different driver and vehicle hours. A single morning-and-evening return is not the same as three shift changes with late-night coverage. We need the first report time, each trip time, the latest finish, break/standby time and whether a second driver may be required. Public holidays and rest days should be specified.

Route distance and the real monthly kilometres

Give every pickup stop and the worksite gate or office entrance. As a simple estimation method, monthly running kilometres equal the sum of all scheduled trip distances per day multiplied by service days, plus any positioning or authorised extra mileage. Do not assume your contract has unlimited kilometres: the included allowance, extra-kilometre charge and detours must be stated in the signed quotation.

With driver and with or without fuel

A driver-operated staff shuttle may be quoted with fuel included or fuel excluded. If fuel is excluded, ask who pays for diesel and how changes are measured; if fuel is included, check whether the route and mileage limit are fixed. For any eligible vehicle-only arrangement, also confirm driver licensing, insurance cover and who is responsible for permitted operations. Our homepage monthly guide does not promise an identical driver/fuel package for all enquiries.

Practical Monthly Staff Transport Budget Examples

These examples divide the published vehicle ranges by the number of people who actually travel. They are maths for planning, not a new passenger fare, advertised seat price or confirmed quotation.

Monthly cost per employee: 12, 25 and 30 staff

Illustrative per-person allocation based on one vehicle and the 2026-10-09 homepage range. Calculations exclude any route-specific charges not already within a final quote.
Example team and vehicleOne-vehicle monthly rangeCost per employee/monthAssumption
12 staff; one eligible 7–15 seat vanAED 6,800–9,200AED 566.67–766.6712 staff sharing one vehicle and one agreed route
25 staff; one eligible 18–34 seat minibusAED 10,000–13,500AED 400.00–540.0025 staff sharing one vehicle and one agreed route
30 staff; one eligible 18–34 seat minibusAED 10,000–13,500AED 333.33–450.0030 staff on a properly licensed 30+ seat configuration
50 staff; large coach or workforce busProject quotationCalculate after quoteCannot apply 18–34 seat pricing to one bus carrying 50 people

For example, if 25 employees share one qualifying minibus for one agreed route, dividing AED 10,000–13,500 by 25 gives AED 400–540 per person each month. The employer still contracts and pays for the complete vehicle: this is not an individual car-lift subscription, public bus ticket or seat sold separately.

One vehicle versus two routes or two vehicles

If the same 25 staff work on one route at one shift time, one suitable minibus may be simpler than running two vans. But if half the team must arrive at a different gate or hours overlap, two vehicles may be required. Never add or divide the guide ranges and call it a confirmed two-vehicle offer; each actual route and driver duty needs a quotation.

When a 50-, 66- or 84-seater needs a tailored rate

For a larger workforce, tell us whether you need an AC coach, an AC high-capacity staff bus or a different approved configuration. A 50-seat guest coach is not automatically the cheapest or best staff-shift vehicle, and a 60–84 seat labour bus has different seating and operating characteristics. We will compare a suitable large vehicle with a multi-bus plan only after receiving your headcount, route and shift information.

A high-capacity labour bus is priced only after the route, shift pattern, specification and permitted passenger load are confirmed.

Illustrative monthly workday cost

If 25 staff use the same minibus on 26 operating days, the simple total-vehicle daily budget is AED 384.62–519.23 (AED 10,000–13,500 ÷ 26). That is a budgeting allocation, not a daily-hire price: a monthly agreement normally has its own minimum term, planned trips, driver schedule, service-day rules and exclusions.

04 / WHAT IS INSIDE THE QUOTE

Driver, Fuel, Salik, Permits and Tax in a Monthly Staff Contract

The right comparison is not the lowest figure. It is the cost of getting your workers to the right place on every contracted day.

Monthly contract inclusion checklist

Do not assume any item is included unless it appears in your written Royal Dream quotation.
Cost or service itemWhat to confirm in writingWhy it matters
Vehicle and seatsExact vehicle class, approved passenger capacity, AC specificationA larger seat label does not prove the actual configuration
DriverIncluded or excluded; licensed driver, duty window, relief provisionEarly and late shifts can require additional arrangements
Fuel / dieselIncluded or excluded; agreed kilometres and adjustment mechanismA cheap fuel-excluded quote may cost more overall
Salik, tolls and parkingCovered by supplier or charged separatelyMultiple paid gates or site parking may add cost
Passenger-transport permitsWho obtains and pays; route and emirates coveredRoutes may require operator, vehicle and driver approvals

Extra duty / overtimeWorking-day window, late shifts and extra-kilometre chargesExtra trips should not surprise the accounts team
Driver accommodation / parkingWhich party arranges and pays, if requiredOut-of-area staff routes can create additional obligations
VAT treatmentSupplier tax classification and invoice displayTax depends on the actual legal nature of the supply

Fuel-included versus fuel-excluded monthly rates

For a fuel-included option, ask us to state the route, estimated kilometre allowance, workdays and any trigger for revised pricing. For a fuel-excluded option, ask for the same route and duty but with diesel charged to you, and confirm whether fuel purchased by your team needs a vehicle card or filling arrangement. We do not publish a fuel uplift percentage or fixed AED/litre calculation on this guide; it belongs in the actual commercial terms.

VAT: avoid assuming that every contract attracts the same 5%

The UAE general VAT rate is 5%, but the Federal Tax Authority lists qualifying local passenger transport among exempt supplies. A vehicle rental, chauffeur or transport service can require a different legal assessment depending on the actual arrangement. We will show the applicable VAT treatment on the formal quotation and invoice; do not automatically add 5% or promise exemption before the service has been classified.

05 / REGIONAL OPERATIONS AND COMPLIANCE

How UAE Route, Permits and Service Reliability Affect Cost

A route from a staff camp to a factory is not automatically covered by the same permission or operating cost in every emirate.

Dubai staff routes and inter-emirate operations

Dubai RTA regulates passenger transport by rented buses, including transport of employees under company contracts. Transport arriving from another emirate may need a relevant Naqel permit and approved pickup/drop-off points. Tell us if your route crosses Dubai’s boundary—for example Sharjah to Jebel Ali or Ajman to Business Bay—before accepting a local-only monthly rate.

Abu Dhabi and Sharjah operational approvals

Abu Dhabi Mobility’s Asateel service covers passenger-bus company, vehicle and driver permits and related tracking-device requirements. Sharjah RTA also operates a certificate and permit framework for contracted passenger transport by rented buses. If we plan a route within, into or out of these emirates, the authorised vehicle, driver, operating company and required route documents must be checked for the actual service.

Maintenance, replacement and dispatch cover

One missed pickup can affect a full shift. Ask whether routine maintenance, tyre and repair downtime, breakdown replacement, alternate vehicle capacity, driver absence and dispatch contact details are part of your agreement. A low monthly charge does not help if the supplier cannot support the service at your operating times.

06 / AVOID BAD COMPARISONS

Common Cost Mistakes and How to Request Your Monthly Quote

A few missing operating details can turn an apparently cheap quote into a more expensive contract after the first month.

Seven mistakes that cause an inaccurate budget

  1. Using the daily bus-rental table for a monthly route. Daily tours and short transfers have different operating terms. Use only the published monthly vehicle range as your first budget reference.
  2. Quoting average attendance rather than maximum shift load. The bus needs enough approved seats at the busiest departure.
  3. Forgetting dead mileage or multiple pickups. Show us where the bus starts and where it needs to go before and after staff board.
  4. Leaving weekend or night shifts out of the schedule. A 26-day daytime contract is not automatically suitable for a seven-day three-shift operation.
  5. Mixing fuel-included and fuel-excluded offers. Put diesel, kilometre limits, tolls and any adjustment clauses side by side.
  6. Assuming permits, parking, driver housing and relief cover are free. Agree what applies and who pays before signing.
  7. Selecting a large luxury coach only by its advertised seat count. Staff transportation may need a different approved bus type, shift timetable or pickup access.

What to check in a contract renewal or rate revision

Keep your current route map, actual kilometres, attendance by shift and a record of extra stops. When the contract renews, compare the original agreed scope against what you actually used. If fuel terms, route mileage, workdays or driver hours change, ask for a written amendment rather than relying on an informal message or assumed automatic increase.

When you are ready, send the details below and we will price the actual operating plan rather than a generic staff bus.

Send these eight details for a proper monthly cost

  1. Your company name and the emirate of the business location or trade licence.
  2. Exact accommodation/camp or office pickup points and the receiving factory, building or worksite gates.
  3. Number of staff on the busiest shift and any expected changes in headcount.
  4. First pickup, duty start, each return, shifts and the latest daily finishing time.
  5. Operating days per week, weekly rest days, public-holiday expectations and start date.
  6. Number of daily trips and stops plus estimated or recorded route kilometres.
  7. Whether fuel should be included, and who will handle Salik, parking and any driver accommodation.
  8. Required contract term (one month, three months, six months or annual) and any site access/safety rules.

What we will put in your monthly quote

Your written offer should show the selected vehicle and passenger seats, driver arrangement, route points, agreed daily trips, duty hours, days per week, mileage allowance, price and applicable tax treatment, fuel basis, Salik/parking/permit responsibilities, overtime/extra-kilometre approach, maintenance and backup arrangements, payment schedule, mobilisation and contract-change terms. We can review two options side by side where there is a genuine operating choice.

08 / COMMON QUESTIONS

Monthly Staff Transport Cost UAE: Frequently Asked Questions

Answers below refer to dedicated company staff transport, not a public transport pass or an individually sold car-lift seat.

What is the monthly staff transport cost in the UAE?

Our published guide range is AED 6,800–9,200/month for 7–15 seat vans/MPVs and AED 10,000–13,500/month for 18–34 seat minibuses. Larger coaches and workforce buses are project-quoted. Final prices depend on your route, shifts, mileage, duty and inclusions.

How much is a 12-, 13-, 14- or 15-seater monthly staff van?

Our homepage groups 7–15 seat vans/MPVs into one AED 6,800–9,200 monthly planning band. This is not a guaranteed rate for every exact van layout: tell us the real passenger count, pickup location, shifts and fuel preference for a written offer.

How much is a 22-, 26- or 30-seater staff minibus per month?

Our published 18–34 seat minibus category is AED 10,000–13,500/month as a planning guide. We confirm the individual minibus capacity, route kilometres, working days, driver hours and the fuel basis before quoting.

What is the monthly rental price for a 50-, 66-, 67- or 84-seater staff bus?

We do not publish a fixed monthly amount for those large capacities on the homepage. They need a project quotation because bus specification, actual seating, routes, duty days, shift coverage, fuel and permit requirements can vary widely.

Is diesel included in the published monthly rates?

The homepage rates are general planning ranges rather than a single fixed fuel-inclusive package. We can discuss fuel-included or fuel-excluded contract options where operationally suitable; your written quotation will say which applies.

Does monthly staff transport include a professional driver?

Our regular service is driver-operated company transport, but the driver scope and daily duty must be explicit in each quotation. Eligible vehicle-only requests, if available, require their own terms and legal compliance checks.

How many working days or kilometres are included in the monthly price?

There is no one unlimited-day or unlimited-kilometre promise in our homepage monthly guide. We price the actual requested operating days, number of trips, shift timings and mileage allowance, then state any overtime or extra-kilometre treatment in writing.

Can one bus cover two or three employee shifts?

Sometimes, if the duty windows do not overlap and the driver-hour and route requirements can be met legally. Overlapping shifts, long gaps, late-night work or high mileage can require another driver or another vehicle, which affects the quote.

How much is staff transport per employee per month?

For illustration only, 25 staff sharing one minibus at the homepage AED 10,000–13,500 range gives AED 400–540 per employee per month before any unquoted route-specific charges. Your company rents the vehicle, not individual seats.

Are Salik, parking, permits and driver accommodation included?

Do not assume so. The final quotation specifies which costs are included, excluded or borne by the client, including tolls, permits, driver accommodation if applicable, parking and additional route costs.

Can you quote Sharjah-to-Dubai or Ajman-to-Jebel Ali staff transport?

Yes, we can assess a cross-emirate company transport enquiry. We need the exact start and end points, company documents and operating timetable to check permissions, route distance, availability and the applicable monthly charge.

Does 5% VAT always apply to staff bus transport?

No universal answer should be assumed. UAE local passenger transportation may qualify for exemption, while hire and other arrangements may be classified differently. The correct VAT treatment depends on the actual service and will be stated on the formal quotation or invoice.

Is an AC bus available for staff and labour transport?

We can review suitable AC vans, minibuses and larger staff buses according to availability and operating requirements. Do not assume every high-capacity labour bus or quoted vehicle has the same interior, air conditioning or luggage provision.

Can the monthly contract be changed when staff count increases?

Tell us before the headcount or operating schedule changes. We can assess an upgraded vehicle, additional bus, new pickup route or contract amendment and price it in writing rather than assume extra capacity is already covered.

What should we send to get a firm monthly quote?

Send pickup and drop-off points, highest staff count by shift, timings, days per week, trips per day, mileage estimate, contract duration and whether you want fuel included. We then quote the real operating scope.
